The Role

We're seeking a Project & Platform Coordinator to serve as the operational backbone of our marketing efforts. This role combines technical platform management with project coordination to keep our digital systems humming while ensuring marketing initiatives get across the finish line successfully. This position manages the day-to-day operations of our CRM, CMS and marketing automation systems while coordinating marketing initiatives from conception to completion.

What to Expect

You'll work from our downtown Eugene office alongside a team that genuinely enjoys collaborating and believes in our mission. The role offers potential for hybrid work after your first few months. While most of your time will be spent on platform management and project coordination, you'll also occasionally pitch in at our visitor center during busy periods, help at community events and deliver materials to local businesses work that keeps you connected to the real-world impact of what we do.

Starting pay: $23/hour (full-time, non-exempt)

Position Title: Project & Platform Coordinator

Purpose of Position:

This position serves as the operational backbone of Travel Lane County's marketing efforts, ensuring our digital platforms run smoothly and marketing projects are executed successfully. The Project & Platform Coordinator manages the day-to-day operations of our CRM, CMS, and marketing automation systems while coordinating marketing initiatives from conception to completion. This role combines technical platform expertise with project management skills, serving as the primary liaison between internal teams, external vendors, and stakeholders to optimize our digital marketing infrastructure and deliver impactful projects on time and within budget.

Responsibilities*:

Platform Management (45%)

  • Provide technical support and training on our CRM, CMS, marketing automation and other digital platforms to team members.
  • Create and maintain training documentation and user guides for all digital platforms.
  • Manage tickets with our digital marketing vendor for bug fixes and new builds/features.
  • Optimize our digital tools for maximum efficiency, including regularly cleaning email lists, running reports on CRM data to identify data cleanup needs, and monitoring Google Analytics to ensure website performance is optimal.
  • Manage basic DNS records as needed.
  • Support website content updates as needed in collaboration with the Director of Content Strategy.
  • Troubleshoot platform issues and identify solutions or escalate appropriately.
  • Stay current on platform updates and new features that could benefit the team.

Project Coordination (45%)

  • Manage marketing projects of varying timelines that involve both internal teams and external vendors.
  • Coordinate campaigns, creative and content creation, and photo/video shoots.
  • Work with agencies, contractors, and publishing/printing vendors to ensure project deliverables.
  • Keep projects on track, ensure deadlines are met, and monitor adherence to approved budgets, identifying potential issues and escalating appropriately.
  • Document communications and tasks in our project management platform to ensure clarity of roles and responsibilities.
  • Serve as primary liaison for project teams;facilitate project status meetings and communications.

Administrative Support (10%)

  • Schedule meetings and coordinate calendars as needed for project activities.
  • Take comprehensive meeting notes and distribute action items.
  • Maintain organized project files and documentation.
  • Support team with other administrative tasks as assigned.

Other Duties as Assigned

Position Requirements:

  • 2 years of experience in project coordination, digital marketing or related field.
  • Demonstrated technical aptitude with ability to quickly learn and adapt to new digital platforms and tools.
  • Proficiency with Office 365 suite, especially Microsoft Excel.
  • Strong organizational skills and attention to detail.
  • Technically curious with a proven ability to quickly master new digital platforms.
  • Skilled communicator who can summarize complex information and keep project teams aligned and informed.
  • Mission-driven with genuine interest in serving the community.
  • Excellent written and verbal communication skills with demonstrated ability to synthesize and communicate information.
  • Ability to work both independently and collaboratively with a team.
  • Demonstrated cultural sensitivity and the ability to engage with diverse communities.

Preferred Requirements:

  • Experience with CRM, CMS and marketing automation systems.
  • Experience with project management systems and best practices, especially multi-channel campaign coordination.
  • Experience working with vendors and agencies.
  • Knowledge of Google Analytics 4, email marketing best practices and basic HTML/CSS.
  • Interest in community-driven work and the tourism industry.
  • Familiarity with Lane County tourism product and experiences.

Compensation/Hours:

  • Full-time, non-exempt hourly position based in our downtown Eugene office with occasional shifts in our visitor center. This position may be eligible to work a hybrid in-office/remote schedule after 3 months.
  • Benefits include medical and dental insurance, paid holidays, vacation and sick leave.
  • Employer contribution to SEP/IRA after two years of employment.
  • This position reports to the Vice President of Integrated Marketing.
